As part of its continued expansion, Bulkhaul (USA) Inc. have designed a purpose-built state-of-the-art depot, maintenance and ISO tank cleaning facility in Pasadena, Texas to service the demands of their increasing global fleet and to provide a world class facility to the local chemical industry. With a strong presence in the international logistics sector, our Houston depot plays a key role in our American operations. We are currently recruiting for a highly organized and proactive Administrative Support professional to join our Depot & Workshop Operations team.
The Role:
The Administrative Support role is key to the efficient running of our depot and workshop. You will provide day-to-day, a wide range of essential administrative support to our operations, maintenance and logistics teams, ensuring documentation, scheduling and coordination processes run smoothly and to meet business objectives efficiently.
Principle Duties:
· Provide administrative support to depot and workshop management.
· Provide general office support as needed, (i.e filing, correspondence, scheduling)
· Create and process tank maintenance, preparation and repair orders.
· Maintain accurate records of tank inspections, repairs and certifications.
· Assist with coordinating maintenance schedules and job cards for workshop activities.
· Assist with ordering and tracking parts, materials and supplies.
· Liaise with suppliers and service providers to support operational needs.
· Prepare daily and weekly operational reports.
· Support compliance with Health & Safety and Quality standards by maintaining documentation.
· Ensure compliance with company policies and relevant legal and regulatory requirements.
· Monitor and control the Company’s Time & Attendance system for all workshop based staff.
· Manage and action holiday requests for workshop employees in line with Company procedures.
· Liaise effectively with UK based HR & Payroll teams to ensure accurate data flow and support.
· Contribute to continuous improvement initiatives to enhance efficiency and customer satisfaction.

· Proficient in Microsoft Office Suite (especially word, excel and outlook)
· Ability to work effectively and independently in a fast-paced, operational environment.
· Willingness to work closely with operational staff in workshop areas.
· Proactive problem-solving skills.
· Previous experience in a depot, workshop, transport or logistics setting is advantageous.
· Bilingual in English and Spanish is preferred but not essential.
